Service channels
Ready-made connectors in the panel (you don't need to change your WhatsApp number):
- WhatsApp Cloud API (Meta) — the official channel, templates, 24-hour window, Embedded Signup and WhatsApp coexistence (the same number in the app and the API) on every plan.
- WhatsApp Web — QR session (for those who haven't moved to the Cloud API yet).
- Messenger (Facebook Page) — same inbox and same bot.
- Instagram Direct — DMs in the same inbox.
- Instagram comments and mentions — they enter the bot pipeline; you can answer in the flowchart, with the AI (if it's in the script) and in the inbox (reply to the comment, open the post and delete when the API allows).
- Website chat (webchat) — an
api connector created per flow; public HTTPS URL; visitors can enter name, email and phone before chatting.
- Connector share page (
/connector/share) — QR and status without an admin login.
- Panel login via WhatsApp (OTP / 2FA) for owner and agents.
Channels on every plan: WhatsApp, Instagram, Messenger, website chat and email. The plan changes the volume of contacts and messages.
Journey (visual builder)
The Journey screen (/bot/:id/diagram). No code. Blocks the panel offers today:
Entry triggers
- First contact (welcome).
- Keywords.
- Human service — the bot pauses, the queue opens and the agent's phone rings.
- Ad — a click on a Meta ad lands on this step.
- WhatsApp template link (whole message or button) as the campaign starter.
Messages and media
- Text, image (from the gallery + caption), sticker, audio, video and file.
- Reply buttons (native or numbered list).
- Automatic redirect (moves on without waiting for the customer).
Capture and validation — full name, email, phone, tax ID, company ID, ZIP code, address, date, URL, integer, decimal, password, yes/no, color and nickname.
Scheduling in the flow — a single block: book, check, reschedule or cancel based on the customer's history (Google Calendar linked to the resource). The legacy cancel-only action still exists in the runtime.
WhatsApp Flow — Meta's native form in the conversation (text, date, list, photo, document, opt-in etc.), with fields saved to the flow variables.
Catalog / products — sends a catalog, product or list; the customer chooses and the flow continues.
HSM template — builds a template in the flow (approved by Meta).
Webhook — calls an external URL and can show the response; “Form submission” POSTs the funnel fields to your CRM/system.
Agent step (AI) — an LLM step with a mission, named outputs and a limit of turns without resolution.
Skip if already done — doesn't repeat the step if the context already has the answer.
2FA in the flow — a code verification step (bot runtime).
Journey tools — flow testing in the diagram; JSON export/import; a gallery of journey templates by industry; bot mind map; quick shortcuts (text, image, buttons, agent, Flow, catalog, template, ad).
Each plan includes 1 bot (subscription per bot; only 1 Free bot per account). Steps: Free 20; Pro 200; Max unlimited.
Calendar (panel module)
The Calendar screen (/bot/:id/agenda), in addition to the flowchart block. Tabs: Calendar, Resources, Services, Settings and Messages.
- Weekly/monthly calendar: create, move and cancel events; internal comments on the appointment.
- Resources — staff/rooms, hours and Google Calendar link (OAuth in the panel).
- Services — duration, advance notice and which calendars serve them.
- Settings — time zone, gap between slots, booking window.
- Messages — funnel texts and cancel/reschedule notices (chat or HSM template).
- Calendar-only agent: the menu shrinks to the Calendar.
Conversations (inbox)
The Conversations screen. One inbox for Cloud API, WhatsApp Web, Instagram, Messenger and webchat.
- Filters: all, waiting, human, owner, already interacted; CRM status chips.
- Take over a conversation, transfer with history and mute the bot for the session until it ends or goes idle.
- AI reply suggestions, intent classification and audio transcription.
- Quick replies with
/.
- Attachments: the place's gallery, document, camera; on the Cloud API you can also request location, call permission and an order/payment.
- Outbound Meta templates outside the 24-hour window (template + contact variables).
- Browser sound and notifications (the agent enables audio on the first click).
- Typing indicator on webchat; toasts for Meta delivery failures.
Customers and CRM pipeline
The Customers screen: a list with channel, tags, status and a shortcut to chat or calendar. Funnel status by context (sales, service, operations, industry — e.g. viewing booked). With the AI on, stage and score sync to the Weappi CRM.
Opportunities (kanban)
The Opportunities screen (/bot/:id/kanban): a drag-and-drop board by status, list view, campaign/tag filters and the lead card.
Results
The Results screen: totals of contacts, active conversations, messages in/out, response rate, charts by day/week/month, status distribution, heatmap by hour, ranking by agent, funnel and CSV export.
Bulk messaging (Pro and Max)
The Bulk messaging screen (/bot/:id/disparos), in three steps: who receives it, message, review and send.
- Audience by plain-language rules, using contact data and profile cards (plan and expiry, birthday, vaccine and return visit, last contact, status, tag, city) and ready-made shortcuts.
- Channel: WhatsApp, email or both; a count of who receives it and who is left out, with the reason.
- A campaign (now or scheduled) or a daily automatic send to whoever matches the rule, with a window so the same person isn't messaged twice.
- Messages by template only: an approved WhatsApp template (with media and buttons) or an email template from the account; blanks filled with contact data; preview with a real contact and a test send.
- Replies to the send follow the template's link to the bot step (default: human service).
- Safeguards: only people who have already chatted by default, 1 automatic message per person per day, Meta number quality check (slows down or pauses), allowed hours (default 8am–8pm), up to 70% of the plan's daily messages, 2 attempts per contact.
- Unsubscribe on both channels: "stop" on WhatsApp and a link in the email footer (with one-click unsubscribe in Gmail); bounced emails leave the list.
- Email from the company's own mailbox (Gmail, Outlook or IMAP), respecting the provider's daily limit.
- Report: sent, delivered, read, replied, failed and asked to stop, with a shortcut to the conversation; pause, resume, duplicate and delete.
- Also through Claude, with the Weappi MCP.
My team
- Agent invitations via the connector's WhatsApp (nickname and password; 2FA until a password is set).
- Permissions: view inbox, answer, view calendar, manage calendar, edit flow (administrator).
- Each agent's hours and an out-of-hours message.
- Status active / pending / inactive.
Agents besides the owner: Free 0; Pro 2; Max 5 (on Pro and Max, an extra agent for $12).
Catalog
The Catalog screen — the Weappi catalog (not tied to a single channel). Create local catalogs, import from Meta, create a catalog on WhatsApp Business, sync both ways, edit items and preview the storefront. In the flow, the Catalog / Products block sends the assortment in the conversation.
Ads (Meta Ads)
The Ads screen: campaigns (traffic, awareness, engagement), ad sets (budget, feed/stories/reels placement), creatives, CTAs and WhatsApp, Messenger, Instagram Direct or Website chat destinations. Preview, Gantt view, pause/activate and Meta reports. Publishing requires a linked Facebook Page.
The WhatsApp screen (/bot/:id/meta):
- Number profile (name, about, photo).
- WhatsApp Flows (library on Meta).
- Limits and quality (24-hour message tier and rating).
- HSM templates (create, list, submit for approval).
- WhatsApp ice breakers.
- Shortcut to the catalog; analytics card.
- Meta Billing Hub — Meta's conversation charges, not Weappi's.
Weappi AI (orchestrator)
The AI Bot and AI screens. Every model call goes through weappi-ai. The panel, the bot and the server never talk to OpenAI/Anthropic/etc. directly.
- Providers: Google AI Studio (Gemini), OpenRouter, OpenAI, Anthropic, Grok, Hugging Face, DeepSeek and Manual (Ollama, LM Studio or your own endpoint).
- Multiple keys per provider, failover order and a credential test (ping).
- Behavior: tone, formality, empathy, missions;
flow mode (diagram only), ai and qa (knowledge base only).
- Usage (tokens/calls/cost), daily/monthly cap and a runtime alert if the AI fails.
- Humanized mode (quotes the base in a natural voice, without inventing facts).
- Suggestions, classification and transcription in the inbox through the same orchestrator.
- Grounding: states only what's in the base; without a source, it admits it or hands off.
- Industry capabilities (booking, catalog, store visit, customer sells to the business) — in the customer's bot, not in Weappi as a store.
Weappi doesn't charge per AI token/message: you pay the model provider. Details in Weappi AI.
Knowledge base
The knowledge base screen in the bot hub. Sources in the panel:
- Manual text and FAQ.
- Website crawl (URL).
- File (PDF, DOCX, XLSX, PPTX, JSON, HTML, TXT, MD, CSV, image with OCR).
- Live REST API (catalog/lookup in real time, without inventing stock).
- Instagram, Facebook Page, WhatsApp Business and Meta catalog imported into the base.
- Unanswered questions queue → turns into FAQ.
- Training by conversation (webchat
#training).
- Folders to organize documents; test chat per document.
Website chat
The Website chat screen: public URL, embed guidance, pre-registration (name/email/phone), media in the widget, ad destination and training mode. The same WhatsApp bot serves the website visitor.
Gallery
The place's media drive: upload and reuse in image/video/file/template steps and in inbox attachments.
Onboarding and account
- New account wizard: website crawl, industry, journey template, generate the flowchart from the base.
- Meta onboarding (WhatsApp / Facebook / Instagram / base) on its own URL.
- Google Calendar OAuth for calendar resources.
- Account plans in the panel (
/bot/:id/planos) to subscribe to Pro or Max.
Publish, test and configure
- Publish to production (test ↔ online) with a channel checklist.
- Journey testing in the diagram and knowledge base testing in an isolated conversation.
- Bot settings: name, public tag
/bot/{tag}, icon, background, connections.
- Script mind map (tree view, in addition to the operational diagram).
Storage
Images, videos, files and conversations within the plan's cap. Free 100 MB; Pro 10 GB; Max 50 GB. Human conversations per day: up to 5 on Free, 100 on Pro, 500 on Max. If storage fills up, new media isn't uploaded until you free up space or upgrade.
Integrations
- Google Calendar (OAuth + calendar block in the flow).
- Webhook / form POST.
- REST API in the base (real time).
- Meta Graph API: Cloud, Instagram, Messenger, Ads, catalog, Flows, templates.
- Integrations with other systems (rolling out gradually; EVO, for gyms, already available), WebHook and HTTP Query on Pro and Max.
- Native Weappi CRM (contacts, pipeline, kanban). External CRM / spreadsheet on request.
The server never calls an LLM directly: everything goes through the Weappi orchestrator.
